5 Google Workspace Features You Need to Try Today!

Google Workspace has more than 3 billion users, but there are several hidden gems in platform that a vast majority of users aren’t familiar with. These features can improve your workflow far beyond the standard (though already powerful) functionality of apps like Gmail and Docs. Ready to boost your productivity? Dive in…

1. Google Docs: Voice Typing

Why type when you can talk instead? Google Docs has a handy Voice Typing feature that lets you dictate text instead of typing it out and that includes the punctuation and formatting too. This feature is a lifesaver for those times when your hands are busy, or you just want to speed things up.

To get started:

  1. Open Google Docs.
  2. Click on Tools and select Voice Typing.
  3. Click on the microphone icon, start speaking, and watch your words appear on the screen.

2. Google Sheets: Explore Tool

Not everyone is a spreadsheet pro, but with the Explore Tool in Google Sheets, you don’t need to be because it makes it easy to generate charts, graphs, and insights from data with just one click. Visualize data instantly with no technical expertise needed.

Here’s how to use it:

  1. Open a Google Sheet and highlight your data.
  2. Look for the Explore button at the bottom right corner, then click it.
  3. Explore offers instant charts and analysis. Choose the ones that suit your needs!

3. Google Keep: Integration in Docs

If you’re a fan of Google Keep for note-taking, you’ll love its integration with Google Docs. With this feature, you can drag and drop these digital sticky notes right into your document, making it easier to reference ideas or research while you work. BTW, the content saved on Google Keep is private unless you choose to share it.

To use Keep in Docs:

  1. Open Google Docs, and under Tools, select Keep Notepad.
  2. Your notes will appear on the side. Drag any note you need directly into your document.

4. Google Calendar: Appointment Slots

What’s the worst part of scheduling meetings? The back-and-forth emails, right? What if there was a way to cut that out? Oh wait, there is. Google Calendar’s Appointment Slots feature lets you block off time slots that others can book directly. It’s a great way to streamline scheduling and avoid double-booking, and think of the time saved!

To set up Appointment Slots:

  1. Open Google Calendar and create an event.
  2. Choose Appointment Slots and set your available times.
  3. Share the link, and others can pick a slot that works for them.

5. Gmail: Smart Compose and Smart Reply

Gmail uses AI to make drafting emails and replies faster. With Smart Compose, Google can predict what you’re typing and suggest ways to complete your sentences. Smart Reply offers quick responses to emails so you can stay on top of communications with minimal effort.

For example, as you type in Gmail, Smart Compose may suggest phrases to speed up the process. Simple. Effective. No repetitive typing.
